GENERAL TERMS AND CONDITIONS FOR PARTICIPANTS OF MOONSHOT PIRATES EVENTS
Please read these Terms and Conditions carefully as they contain important information about your legal rights, remedies, and obligations. The following terms and conditions set out the legal rules applicable to the Moonshot Pirates events, such as Moonshot Pirates Bootcamps, Moonshot Pirates Festivals & other associated events (hereinafter referred to as “Event”). Participants shall be bound by these terms and conditions upon registering for the event and are advised to read these terms carefully before registering. beapirate GmbH (hereinafter referred to as “Organizer”) will not accept any conditions contradictory to or deviate from these general terms and conditions. These terms and conditions regulate the registration for events and the purchase of event tickets or any other goods or services via the Moonshot Pirates website or via Moonshot Pirates related sites, apps, and ticketing providers.
1. APPLICATION PROCESS, REGISTRATION FEES & TICKET PROCESS FOR BOOTCAMPS At the time of application for events participants must provide accurate and complete personal information. Participants younger than eighteen years must provide signed parental approval. The organizer reserves the right to disapprove the ticket application. After the acceptance of the application, participants will be provided with information to claim the ticket. At the time of claiming the ticket, participants must provide accurate and complete personal and billing information. You agree to pay in full the fee that is applicable to your registration category and a payment tier applicable at the time of registration. In the case of free tickets, a deposit fee might be applicable. You will receive your registration confirmation and payment receipt (if applicable) by email. Please ensure that your email address is entered correctly in your registration form. Participants are advised to have a copy of their personal identification when going to the registration desk at the Event. Ticket prices/deposit prices for the Event are correct at the time of publication on the organizer’s website. The organizer reserves the right to change the ticket prices at any time, but any changes will not affect tickets that have already been purchased. A valid ticket entitles you to enter the Event as an Attendee but does not include any requirements associated with travel to or from the Event, and the organizer shall have no liability for such costs or expenses. At the time of purchasing, participants must provide accurate and complete personal information and billing information. Participants younger than eighteen years must provide signed parental approval. The organizer reserves the right to disapprove the ticket purchase. You agree to pay in full the fee that is applicable to your registration category and a payment tier applicable at the time of purchase. In the case of free tickets, a scholarship deposit fee might be applicable. You will receive your registration confirmation and payment receipt (if applicable) by email. Please ensure that your email address is entered correctly in your registration form. Participants are advised to have a copy of their personal identification when going to the registration desk at the Event. Participants with a student ticket will only get access with a valid student ID and must not be older than 20. Ticket prices/deposit prices for the Event are correct at the time of publication on the organizer’s website. The organizer reserves the right to change the ticket prices at any time, but any changes will not affect tickets that have already been purchased. A valid ticket entitles you to enter the Event as an Attendee but does not include any requirements associated with travel to or from the Event, and the organizer shall have no liability for such costs or expenses. 1.3 REGISTERING ON BEHALF OF ANOTHER PERSON If you are registering on behalf of another person, it is your obligation to make sure that the person attending is aware of these Terms and accepts them. By completing and submitting the registration form you are representing and warranting that you have made the person attending aware of these Terms and that they have accepted these Terms.
1.4 DISCOUNT The organizer may from time to time offer certain discounted ticket promotions to encourage attendance at the Event. The organizer is not obligated to offer any discounts for a particular Event and reserve the right to change or withdraw a discount offer at any time in our sole discretion.
2. CANCELLATION POLICY BOOTCAMPS Ticket cancellation must be notified in writing by email to the organizer’s official email (). Cancellations received 20 working days prior to the Event will be refunded the full price of the ticket. Cancellations made less than 20 working days prior to the Event, as well as ‘no shows’, are liable for the full registration fee. Participants must make sure they receive an acknowledgment of their cancellation from the organizer. Only this will confirm that their request has been received and processed.
2.1 CANCELLATION POLICY FESTIVAL Ticket cancellation must be notified in writing by email to the organizer’s official email (). Cancellations received 30 working days prior to the Event will be refunded the full price of the ticket. Cancellations made less than 30 working days prior to the Event, as well as ‘no shows’, are liable for the full fee. Participants must make sure they receive an acknowledgment of their cancellation from the organizer. Only this will confirm that their request has been received and processed.
3. PROGRAM, IT’S ALTERATIONS & CANCELLATION The Organizer reserves the right to amend any part of the Event program, location, and timings if necessary at any time. The Organizer reserves the right to reveal the program only on the day of the event. Beapirate GmbH shall be released from its duty to perform the contract in the event of force majeure. Force majeure shall be deemed to include all unforeseen events and events as to which neither party bears responsibility for the effects thereof on the performance of the contract. In the event of cancellation, any ticket fees already paid shall be refunded; liability for any further claims is hereby disclaimed, except in cases of intentional acts or omissions or gross negligence. In the event of changes in the dates or the place of the event, beapirate GmbH will notify you as soon as possible. You have the right to ask us for a refund of any ticket fees already paid (if applicable) during the two (2) weeks after our notification; liability for any further claims is hereby disclaimed, except in cases of intentional acts or omissions or gross negligence. After the two (2) weeks after our notification, we will understand that you no longer want to exercise your right to be refunded, and any refund of a ticket fee will not be possible.
4. LIABILITY The Organizer will not accept liability for damages of any nature sustained by participants or accompanying persons, or loss of, or damage to their personal property as a result of the Event or related events. Views expressed by speakers are their own. The Organizer cannot accept liability for the expressed views, by any speaker at the Event. In the event of industrial disruption or other unforeseen circumstances, the Organizer accepts no responsibility for loss of monies incurred by participants.
5. PERSONAL INSURANCE The Organizer cannot be responsible for healthcare, dental, emergency services and ambulance services during its Event. The Organizer strongly recommends that participants take out comprehensive medical and travel insurance, which should cover the possibility of flight cancellation due to strikes and other causes. Therefore, the Organizer accepts no responsibility of any nature whatsoever for personal injury, death, loss or damage to property or participants, however, caused or arising.
6. VISA REQUIREMENTS It is your sole responsibility to take care of visa requirements. If you require an entry visa to attend, volunteer or exhibit at the event, you must allow enough time for the visa application procedure. In the event you are not granted a visa, we are under no obligation to refund your ticket unless you are eligible under applicable law to avail of a right to cancel your purchase of a ticket 30 days (10 days for Bootcamps) prior the event.
7. ACCESS REQUIREMENTS/DIETARY REQUIREMENTS Organizer and partnering caterers will make every effort to accommodate dietary restrictions; however, there is no guarantee that we will be able to accommodate all food intolerances/special diets. It is the attendee’s responsibility to let the organizer know if they have any food allergies or restrictions in writing by email. The organizer cannot take into consideration all food intolerances/special diets and cannot be held responsible for any guests not informing us of food allergies or dietary restrictions.
8. PRIVACY LEGISLATION In registering for the event, relevant details will be incorporated into a participant list and may be used for informational material. Normally this information would be name, surname, phone number, email address, etc. These details may also be available to parties directly related to the event, including the venue. The Organizer may use these details to inform current participants of the event updates or future events via email. Participants are responsible for advising the organizer if they do not wish to have their email addresses included in the event participant list or organizer’s distribution list for future events. As regards data protection, please refer to our Privacy Policy which explains how we collect, share, process and utilize your personal data.
9. RECORDINGS By attending the event, all participants agree to the following: photos, audio, and video recordings will be taken throughout the event, which will be used on organizers’ social media channels, websites, and external sites and partners sites. We respect your privacy and the photos are for the organizer’s and partners’s use only. If a guest does not wish to appear in the photos, it is the responsibility of the guest to inform the organizer.
10. CHANGES TO THESE TERMS AND CONDITIONS beapirate GmbH may revise these Terms and Conditions at any time. If we make a material change to these Terms and Conditions, we will provide you the opportunity to review the changes before they become effective. You will then have 30 days to object to the changes. Your continued use of our Services after we publish, send a notice about our changes to these terms, and/or update the “Last Modified” date at the top of this page means that you are consenting to the updated terms. Please check these Terms and Conditions from time to time in order to take notice of any changes that are made to these Terms and Conditions, as they are binding on you once they are in effect. We agree that changes cannot be retroactive.
11. SEVERABILITY CLAUSE If any provision of these terms and conditions is found to be invalid, the invalidity of that provision will not affect the validity of the remaining provisions of these terms and conditions, which shall remain in full force and effect.
12. DISPUTES All agreements between the organizer and participants and all disputes which may arise between the organizer and the participants shall be exclusively subject to Austrian law, the court of jurisdiction shall be Vienna.

Please read these Terms and Conditions carefully as they contain important information about your legal rights, remedies, and obligations. The following terms and conditions set out the legal rules applicable to the Moonshot Pirates App and Platform (hereinafter referred to as “app”). Participants shall be bound by these terms and conditions upon registering to the app and are advised to read these terms carefully before registering. beapirate GmbH (hereinafter referred to as “Organizer”) will not accept any conditions contradictory to or deviate from these general terms and conditions. These terms and conditions regulate the registration to the app.
1. USAGE OF APP AND THE PLATFORM All other Terms and Conditions above and below apply to the app as well. In addition you agree that you will use the Service for its intended purpose, and in compliance with all applicable laws and regulations: local, state, and national, and international, as applicable. You agree not to use the service in a fraudulent, disruptive, aggressive, manipulative, or any other inappropriate matter. beapirate GmbH reserves the right, but has no obligation, to investigate your use of the service for compliance with appropriate use and terminate your access to the Service, or in order to comply with law, regulation, legal process or government request.
2. WHAT YOU REPRESENT You agree to represent yourself honestly, that all of the information you provide is true, correct, and current, to the best of your knowledge, and that you have the necessary rights, power, authority, and age to agree to these Terms and to perform the acts required of you by the agreement.
3. TERMINATION AND REFUSAL OF SERVICE Your access to the Service may be terminated at any time, for any reason. This includes the right to ban any person from the service who uses the App to send spammy, unwanted or hostile communications to other users.
4. PRIVACY AND SECURITY In order to provide the services to you we collect some of your Personal Information. We describe our collection and use of personal information in our Privacy Policy. Please review this policy. You must agree to the processing of your data as laid out in that policy in order to use our services. You agree that the organizer may disclose personal information provided to us, including content of emails, messages, and data entered into the site, if required to by law or government request such as a warrant, or as specified in the Privacy Policy. You must be 15 years or older to use this service. You are responsible for preventing unauthorized access to your account.
5. NO LIABILITY Under no circumstance will we be liable to you or any indirect, incidental, consequential, special or exemplary damages (including emotional distress) arising out of or in connection with your use of the service, whether or not you have been advised of the possibility of such damages.

Please read these Terms & Conditions (“Terms”) carefully. By registering for or participating in any Moonshot Pirates program, event, or using our websites, mobile applications, and online services (collectively, the “Services”), you agree to be bound by these Terms, as well as our Privacy Policy and our Child Safeguarding & Protection Policy (collectively, “Policies”). These Terms set out the legal rules applicable to all Moonshot Pirates activities, whether online or offline. If you do not agree, you should refrain from using our Services or participating in our programs.
Moonshot Pirates is a global youth innovation community operated by Moonshot Pirates Foundation (a non-profit association based in Vienna, Austria) and its wholly-owned social enterprise, beapirate GmbH. In these Terms, “Moonshot Pirates”, “we”, “us”, or “Organizer” refers to Moonshot Pirates Foundation and/or beapirate GmbH. “Participant” or “you” refers to any individual using our Services or joining our events or programs. These Terms are designed to ensure a positive, safe, and fair experience for everyone.
1. Eligibility and Registration
- Age Requirements: Our programs are designed for young people aged 15 to 24. You must be at least 15 years old to use our platform or register for events. If you are under 18, you must have parental or legal guardian consent to participate. We may require a signed parental consent form for participants 15–17 years old. We do not knowingly collect data from children under 15, and any such information will be deleted as per our Privacy Policy.
- Accurate Information: You agree to provide truthful, current, and complete information during registration and in all interactions with us. This includes your name, contact information, age, and any other details we request. You represent that you have the right and authority to agree to these Terms (with parental consent if you are a minor).
- Account Security: If you create an account on our platform, you are responsible for keeping your login credentials confidential. You must notify us immediately of any unauthorized use of your account. We are not liable for any loss or damage from your failure to safeguard your account.
- Acceptance and Participation: By registering for an event or program, or by using our online Services, you enter into a binding agreement to follow these Terms and any instructions or rules provided by the Organizer. We reserve the right to accept or decline any registration or application at our discretion. Participants may be required to meet certain criteria or complete an application process for specific programs (e.g. accelerators, challenges). If you do not meet eligibility requirements or if required consent is not provided, we may revoke your access to the Services.
2. Program Participation and Conduct
- Behavior Expectations: We are committed to providing a positive, inclusive experience for all participants. You agree to behave in a respectful, courteous manner towards all fellow participants, mentors, staff, and third parties. Harassment, discrimination, bullying, or any form of abusive or inappropriate behavior is strictly prohibited. This applies to all interaction channels – including in-person events, video calls, chats, forums, and social media associated with Moonshot Pirates.
- Compliance with Rules and Law: You will follow all program guidelines, schedules, and rules provided by the Organizer. You also agree to use the Services only for their intended purpose and in compliance with all applicable local, national, and international laws and regulations. You must not use the Services to engage in any fraudulent, unlawful, offensive, or harmful conduct. Examples of prohibited behavior include (but are not limited to): impersonating others; sending spam or unwanted solicitations; sharing content that is illegal, violent, hateful, or pornographic; disrupting sessions or platforms; or attempting to hack or gain unauthorized access to systems.
- Platform Use: When using our online platform, communication tools or app, you agree to the same standards of conduct. Do not misuse the platform by introducing malware or by data mining or scraping content without authorization. We reserve the right (but have no obligation) to monitor and review your use of our website, app, and communication tools to ensure compliance with these Terms and our Policies. Violation of any conduct standards may result in immediate removal from a program or suspension of your account.
- Mentorship & Collaboration: Many Moonshot Pirates programs involve mentorship and team collaboration. You agree to interact with mentors and peers in a professional and constructive manner. Any mentor advice or guidance is provided in good faith for educational purposes – it does not constitute professional consulting, nor does Moonshot Pirates guarantee any particular outcome based on such guidance. Participants are expected to exercise judgment and take responsibility for decisions made in their projects.
3. Payment, Fees, and Cancellations
- Fees and Deposits: Most Moonshot Pirates online programs are offered free of charge; however, some events (such as bootcamps, workshops, or in-person gatherings) may involve a registration fee or a refundable deposit. If a fee or deposit is required, it will be clearly communicated during the registration process. You agree to pay any applicable fees in full and by the specified deadlines. For free events requiring a deposit, the deposit will be refunded to you upon your attendance or as otherwise outlined (for example, you may forfeit the deposit if you do not attend without a timely cancellation, to ensure serious participation).
- Cancellation by Participant: If you register for a paid event or submit a deposit and need to cancel, you should inform us as soon as possible in writing (via email to ). Refund eligibility for any fees or deposits will depend on the event’s cancellation policy. We will outline specific cancellation and refund deadlines for events that require payment (e.g. full refund if canceled by a certain date prior to the event). Except as required by law or stated in a specific event’s policy, late cancellations or no-shows may not receive a refund.
- Cancellation or Changes by Organizer: The Organizer reserves the right to cancel, postpone, or modify an event or program if necessary (for example, due to low enrollment, venue issues, health/safety concerns, or other unforeseen circumstances). If we cancel a program for which you have paid a fee, you will receive a full refund of that fee (or the option to credit it toward a rescheduled or alternative program). We are not responsible for other costs you may incur in preparation for an event (such as travel bookings, visa fees or other) in the event of cancellation, so we encourage you to make flexible arrangements or obtain travel insurance (see Section 5). We will endeavor to communicate any changes or cancellations in a timely manner via the contact information you provided.
- Event Admission: The Organizer may refuse admission to or eject from an event any participant who violates these Terms, our Safeguarding Policy, or applicable laws, or whose behavior is deemed unsafe or disrupts the event. In such case, no refund of any fees or costs will be given if the removal is due to your misconduct.
4. Intellectual Property and Content
- Moonshot Pirates Content: All content provided by Moonshot Pirates through our Services, including but not limited to curricula, presentations, webinars, videos, articles, logos, designs, and software, is owned by us or our licensors and is protected by copyright, trademark, and other intellectual property laws. You may access and use this content for your personal, educational, and non-commercial purposes as a participant. However, you may not reproduce, distribute, modify, or create derivative works from our content without our prior written permission, except as allowed under fair use or applicable law. For example, you should not publicly post or sell our workshop materials or use our name/logo without authorization.
- User-Generated Content: In some programs, participants may create or upload content such as project ideas, pitches, text, images, videos, or other media (“User Content”). Ownership of your original content remains with you (and your team, if it’s a team project). By submitting or posting User Content on our platform or in connection with a Moonshot Pirates event, you grant Moonshot Pirates a non-exclusive, royalty-free, worldwide license to use, reproduce, publish, display, and distribute that content for the purposes of operating the program and promoting our initiatives. This license allows us, for example, to showcase your project on our website, social media, or in reports about the program. We will whenever feasible give appropriate credit to you when using your content. If you do not want us to use photos or videos of you or your submitted content for promotional purposes, please inform us explicitly via email () – see Section 8 (Media Opt-Out).
- Content Standards: You are solely responsible for any content you submit or share. You warrant that your User Content is your own creation or that you have obtained all necessary rights and permissions to use it and grant us the above license. Content must not infringe or misappropriate any third-party intellectual property or privacy rights, nor violate any laws or our conduct standards. We do not pre-screen all user content, but we reserve the right to remove or disable access to any content that we believe violates these Terms, our Policies, or any law.
- Sharing of Participant Ideas: Moonshot Pirates is committed to empowering your bold “moonshot” ideas. While we do not claim ownership of your innovations or intellectual property, by participating in our programs you acknowledge that your submitted ideas, project descriptions, pitch videos, and related content may be shared with our partners, sponsors, or affiliated organizations for evaluation, feedback, collaboration, or potential further development.
Moonshot Pirates’ provision of a platform or mentorship for your project does not constitute legal endorsement, co-ownership, or formal partnership in your intellectual property. Participants are solely responsible for protecting their intellectual property rights, if they so desire, through appropriate legal means (e.g., patents, copyrights, trademarks).
By participating, you grant us the right to share and promote your submitted project materials within the Moonshot Pirates community and publicly via our digital channels, as outlined in our promotional activities. If you have concerns or wish to limit specific sharing or usage of your ideas, please inform us explicitly via email at before submitting your materials. However, please note that restricting the sharing of your materials may affect your eligibility or participation in certain programs or activities.
5. Safety, Liability, and Insurance
- Personal Responsibility: Your participation in Moonshot Pirates events (whether online or in-person) is voluntary. You assume responsibility for any risks associated with participation. We expect all participants to take reasonable precautions to ensure their own safety and the security of their personal property. For example, if you are attending an in-person bootcamp, you should safeguard your belongings and follow safety guidelines given by staff.
- Physical Events – Insurance: The Organizer is not responsible for medical, travel, or personal insurance for participants. We strongly recommend that if you are traveling to an event or engaging in any physical activities, you obtain appropriate insurance coverage. This may include health insurance (covering illness or injury), travel insurance (covering trip cancellation, delays, or lost property), and any other insurance prudent for an international event. You acknowledge that Moonshot Pirates does not provide healthcare, emergency services, or insurance coverage during events. Any incidentals such as medical expenses, emergency evacuation, or property loss are your (or your guardian’s) responsibility.
- Travel and Visa Requirements: If you are traveling to an in-person event in another country, it is your responsibility to ensure you have all necessary travel documents, including a valid passport and any required visas. Please allow sufficient time to apply for visas or permissions. The Organizer is not liable if you are unable to attend due to lack of proper documentation or if you are denied entry by immigration authorities. (If you cannot attend because you were denied a visa and you had paid a ticket fee, our general refund policy applies – we are not obligated to refund unless applicable law or the event policy provides for it.) We can provide invitation letters or documentation to support your visa application upon request, but this does not guarantee approval.
- Special Accommodations (Dietary/Accessibility): We strive to create inclusive events. If you have any special requirements – such as dietary restrictions, allergies, or accessibility needs – please inform us in writing (email to the Organizer) as early as possible, ideally when registering or well in advance of the event. We will make reasonable efforts to accommodate documented needs (for example, providing vegetarian or allergen-free meal options, or wheelchair access at venues). However, we cannot guarantee that every requirement can be met, and we rely on participants to communicate their needs. We are not responsible for any adverse consequences if you do not inform us of an allergy or requirement, or if despite our efforts we are unable to fully accommodate a particular need.
- Release of Liability: To the maximum extent permitted by law, Moonshot Pirates (the Foundation, beapirate GmbH, and all of our staff, mentors, and affiliates) is not liable for any loss, damage, illness, or injury arising from your participation in our events or use of our Services, except to the extent caused by our gross negligence or intentional misconduct. This includes, without limitation, liability for any:
- Loss of or damage to personal property;
- Financial loss (travel costs, etc.) due to event changes;
- Personal injury or health issues; or
- Indirect or consequential damages such as emotional distress, loss of opportunity, or other intangible losses.
- Views expressed by guest speakers, mentors, or other participants are their own, and we do not assume responsibility for any advice or statements made by third parties during our programs. In the event of any industrial disruption, natural disaster, epidemic, or other force majeure event that impacts our programs, the Organizer will not be held responsible for any resulting losses to participantsm.
- No Warranty: All Services and content are provided “as is” and “as available” without any warranty of any kind, either express or implied. We specifically disclaim any warranties of fitness for a particular purpose, merchantability, accuracy, or non-infringement. We do not guarantee that the Services will be uninterrupted or error-free, or that any particular outcome will result from participation (for example, we do not guarantee that participation will lead to investment or business success of your project).
- Indemnification: You agree to indemnify and hold harmless Moonshot Pirates and its officers, employees, mentors, and agents from any claims, liabilities, damages, losses, or expenses (including reasonable attorneys’ fees) arising out of or relating to your violation of these Terms or misuse of the Services. In simple terms, if your actions cause harm or legal issues for the organization or others, you may be responsible for the consequences.
6. Privacy and Data Protection
- Compliance with Privacy Policy: Protecting your personal data is important to us. When you register for or participate in our programs, we collect certain personal information from you (such as name, email, age, etc.) and possibly sensitive information (such as dietary needs or health info for event safety). By agreeing to these Terms, you also agree to the collection and use of your information as described in our Privacy Policy. We strongly advise you to read the Privacy Policy in full. In summary, we use your data only for legitimate purposes related to our mission – such as organizing events, facilitating mentorship communication, sending you updates, and ensuring participant safety – and we protect it in compliance with the EU General Data Protection Regulation (GDPR) and other applicable laws.
- Use of Participant Data: When you register for an event or program, your basic details (e.g. name, email, country, age) will be used to organize the event and may be included in participant lists, schedules, or grouping for program activities. For instance, we may share your name and country with other participants or mentors as part of introductions, or provide a list of attendee names to a venue’s security for access control. We may also use your contact information to send you program materials, reminders, and post-event follow-ups. With your consent, we might add you to our mailing list to receive newsletters or information about future Moonshot Pirates opportunities that may interest you. If you do not wish to receive such communications, you are responsible for informing us or using the provided opt-out mechanisms (such as “unsubscribe” links in emails).
- Data Sharing with Partners: We value your privacy – we do not sell your personal data to third parties. We may, however, share information with trusted partners and service providers who assist us in running our programs. For example, mentors and judges may receive participants’ project submissions; event sponsors might receive general statistics or success stories (but not your contact details without your consent); and platform service providers (like our email newsletter service or event registration platform) will process data on our behalf. All such partners are bound by confidentiality or data processing agreements and may only use the data to perform specific services for us. If we ever wish to share your contact information with a partner for their own marketing (for instance, if a partner company wants to invite you to apply to something), we will only do so with your prior express consent.
- International Data Transfers: Moonshot Pirates is active globally, and mentors or team members may be in different countries. When we transfer data internationally, we will ensure appropriate safeguards are in place to comply with GDPR – such as using European Commission Standard Contractual Clauses or transferring only to countries with adequate data protection laws. By participating, you acknowledge that such cross-border data flows are necessary for our global community, and we will take all legally required steps to protect your information.
- Data Security: We implement industry-standard technical and organizational measures to secure your personal information from unauthorized access, alteration, disclosure, or destruction. This includes using encryption and secure protocols where appropriate, and limiting access to personal data to staff or volunteers who need it for their role. However, no method of transmission or storage is 100% secure, so we cannot guarantee absolute security. In the unlikely event of a data breach that poses significant risk to your rights, we will notify you and the relevant authorities as required by law.
- Your Privacy Choices: You have control over your personal data. You can exercise your rights under privacy laws, which include:
- Access and Portability: You may request a copy of the personal data we hold about you, and information on how it’s used. You can also request that we provide your data in a machine-readable format (data portability).
- Correction: You have the right to ask us to correct or update any inaccurate or incomplete personal information.
- Deletion: You can request that we delete your personal data when it’s no longer needed, or if you withdraw consent (where applicable), or if you object to certain processing and we have no overriding legitimate grounds. We will honor such “right to be forgotten” requests to the extent required by law. Note that for legal or operational reasons (e.g., safety records or financial records) we might need to retain certain data.
- Restriction: You can ask us to limit processing of your data in certain situations – for example, while a correction request is pending or if you contest the lawfulness of processing.
- Objection: You have the right to object to certain processing, such as direct marketing. We will stop using your data for those purposes upon request. You can also object to processing based on our legitimate interests, and we will consider if our interests are overridden by your rights.
- Withdraw Consent: Where we rely on your consent (e.g., for sending marketing emails or sharing data with a partner for their outreach), you can withdraw that consent at any time. This will not affect the lawfulness of processing done before your withdrawal.

We will respond within the timeframe required by law (generally within one month). If you have concerns about our data practices, you also have the right to lodge a complaint with a data protection supervisory authority in your country (for EU residents, this is typically your national Data Protection Authority). In short, cookies are small text files stored on your device that help the site function or gather analytics. We use both first-party cookies (set by us) and third-party cookies (set by service providers) for purposes such as: remembering your preferences, authenticating your login, analyzing traffic (via tools like Google Analytics), and enabling social media features. For example, we use Google Analytics to understand how users navigate our site; Google may receive some usage data (including IP address) and store it on servers in the United States. This helps us improve our Services and outreach. We also may use cookies for marketing, to provide you with information relevant to you and to measure the effectiveness of our campaigns. - Automated Processing and AI: Moonshot Pirates continually explores innovative tools to enhance the participant experience, which may include the use of algorithms or artificial intelligence (AI) in the future. We will ensure any such technology is used ethically and in line with privacy laws. We will not subject you to decisions based solely on automated processing (including AI) that have legal or similarly significant effects without your explicit consent and an option for human review, in accordance with GDPR Article 22. Any personal data processed by AI tools will be treated with the same care as other data, and if third-party AI services are involved, we will vet their security and require them to protect your information. We will be transparent about any significant AI features we implement and your choices related to them.
- Retention of Data: We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws. This means, for example, that basic account and participation information may be kept for the duration of your involvement with Moonshot Pirates and for a reasonable period thereafter, to maintain alumni relations and records of our impact. If you request deletion, or after a long period of inactivity, we will erase or anonymize personal data unless we are legally required to keep it longer (e.g., financial transaction records for accounting, or records of any incidents for child protection). We periodically review the data we hold and securely dispose of information that is no longer needed.

7. Media, Recording, and Opt-Out
- Photography & Video at Events: Moonshot Pirates documents its programs through photography, audio recordings, and video recordings. By attending our events (whether in-person or virtual), you acknowledge and consent that you may be photographed or recorded. These photos and videos may be used on the Organizer’s websites, social media channels, promotional materials, or shared with program partners, sponsors, or the general public to highlight our activities. We understand privacy is important; we will never use media in a derogatory manner, and images/video are primarily for positive promotional use showcasing the participants and the program’s impact.
- Virtual Session Recordings: For online webinars, workshops, or mentorship sessions conducted via video conferencing, we may record sessions for participants’ later reference and to ensure safety and quality. Recorded sessions might be shared internally with staff and mentors, and possibly edited for public educational content (for example, a snippet of a keynote speech shared on our YouTube channel). If sessions are being recorded, we will generally notify participants at the start (e.g., via the conferencing platform notification or verbally).
- Usage of Media: The Organizer and its partners may use event media (photos, videos, audio) for purposes including: publicity, highlights on our blog or newsletter, reporting to donors, and attracting future participants. For example, a group photo from a bootcamp might be posted on Instagram, or a screenshot from a Zoom call might be included in a success story article. By default, by participating you grant us permission to use your likeness in such media content without compensation. All such use will be in line with Moonshot Pirates’ mission (to empower youth) and we will not sell your images to third parties.
- Opt-Out Process: We respect that some individuals may prefer not to be included in photos or recordings. If you do not wish to appear in any photos or videos, it is your responsibility to inform us in advance or as soon as you realize cameras are present. You can do this by emailing us at with your request, ideally before the event starts, or by notifying a staff member on site. We will make reasonable efforts to accommodate opt-out requests, such as by asking photographers to avoid you or blurring your face in group shots if feasible. Additionally, if we have posted a photo or video where you are identifiable and you would like it removed or obscured, please contact us and we will address it. Our goal is to ensure everyone is comfortable.
- Media by Participants: We cannot entirely control fellow participants taking photos or screenshots during events (especially in public group settings or online). We ask that all participants be respectful when taking or sharing images that include others, and to honor any fellow participant’s request not to be photographed. You should also avoid capturing personal or sensitive information of others. Moonshot Pirates is not liable for photos or media taken by other participants, but we will address any misuse that violates our Policies.
8. Termination of Participation
- By Participant: You are free to stop using our Services or withdraw from a program at any time. If you choose to delete your online account or unsubscribe from communications, we will handle your data according to our Privacy Policy (which may involve deletion or anonymization of your personal data, except any data we must keep for legitimate reasons). Keep in mind that if you withdraw from a program mid-way, you may become ineligible for any completion benefits (e.g., certificates) and we may not be able to readmit you without a new application in the future.
- By Organizer: Moonshot Pirates reserves the right to terminate or suspend your access to the Services and/or participation in any program at any time, for any reason, with or without notice. We will typically only take such action for a valid reason, such as:
- Violation of these Terms, the Safeguarding Policy, or any other policy or rules we provide;
- Conduct that is unlawful, unsafe, or disrupts the experience for others;
- Providing false information during registration or in program (e.g., misrepresenting your age or identity);
- Technical or security issues that necessitate suspension of an account; or
- If required by law or governmental request to terminate (for instance, sanctions or court orders).
- In less severe cases of misconduct, we may give a warning or impose temporary restrictions before resorting to termination. However, for serious violations or safety concerns, immediate removal may occur. If you are removed or banned for cause, you may not be entitled to any refund of fees paid. We also reserve the right to ban you from future programs or Services if you have been terminated for a serious violation.
- Effect of Termination: If your participation is terminated, you must cease using any of our protected content and not represent yourself as active in Moonshot Pirates. Any provisions of these Terms which by their nature should survive termination (such as liability disclaimers, governing law, etc.) will remain in effect. If you had any projects or content on our platform, we may or may not retain access for you post-termination (you can contact us if you need to retrieve certain content, and we’ll attempt to assist).
9. Changes to Terms
These Terms & Conditions may be updated from time to time as our organization and services evolve. We reserve the right to modify or replace any part of the Terms at our discretion. However, if we make material changes (significant modifications that affect your rights or obligations), we will provide advance notice and an opportunity to review the changes. Notification may be given via email to registered users, via an announcement on our website, and/or by updating the “Effective Date” at the top of this document. We will give at least 30 days’ notice for major changes whenever feasible. During that notice period, if you object to the changes, you should contact us and/or discontinue use of the Services before the new Terms take effect. Your continued participation in programs or use of the Services after the updated Terms are effective constitutes acceptance of those changes. Non-material updates (such as clarifications or grammatical fixes) may be effective immediately upon posting. We encourage you to periodically review the latest version of the Terms on our website. If you have a current account, we may also prompt you to accept the updated Terms upon login.
10. Mentor Specific Terms and Conditions
By participating in Moonshot Pirates programs, mentors agree to uphold our safeguarding policies, adhere to professional standards, and respect the confidentiality of participants’ ideas and personal information. Mentors acknowledge that all intellectual property discussed belongs solely to participants. Additionally, mentors consent to the recording of mentoring sessions and understand these recordings may be used for internal evaluation, community building, partner sharing, or promotional purposes.
11. Miscellaneous Provisions
- Governing Law and Jurisdiction: All agreements and interactions between you and Moonshot Pirates under these Terms shall be governed by the laws of Austria, without regard to its conflict of law principles. Any disputes arising out of or relating to these Terms or your participation in Moonshot Pirates programs that cannot be resolved amicably will be subject to the exclusive jurisdiction of the competent courts in Vienna, Austria. If you are a consumer resident in the EU, you may also have the right to bring proceedings in your country of residence under certain consumer protection laws; however, this provision will not deprive you of any protection afforded by mandatory provisions of the law of your country of habitual residence.
- Severability: If any provision of these Terms is held to be invalid or unenforceable by an applicable court or authority, that provision will be interpreted to achieve its intended purpose to the maximum extent permitted, and the remaining provisions of the Terms will remain in full force and effect.
- No Waiver: If we do not enforce a particular provision of these Terms in a given situation, it does not mean we waive our right to enforce it in the future. Any waiver of rights by the Organizer must be explicit and in writing to be effective.
- Relationship: Nothing in these Terms shall be deemed to constitute either a partnership or an employer-employee relationship between you and Moonshot Pirates. You participate as an independent individual. We do not endorse any commercial venture you may start, and you should not imply Moonshot Pirates’ endorsement or sponsorship of your activities outside the program’s context without permission.
- Entire Agreement: These Terms, together with the incorporated Privacy Policy and Child Safeguarding & Protection Policy and any program-specific guidelines provided to you, constitute the entire agreement between you and Moonshot Pirates with respect to the Services. They supersede any prior agreements or communications on the same subject matter.
- Assignment: You may not assign or transfer any rights or obligations under these Terms to any other person. Moonshot Pirates may assign its rights and obligations to an appropriate entity (for example, if operations are transferred to a successor organization or affiliate), in which case we will inform you of any such assignment.
